PermaLink Outlook - putting attachments in Sharepoint02/13/2008 02:23:58 PM
OK, It took me 2 hours to figure out how to tell Outlook to put my attacments into Sharepoint when I send them.  This is a very cool feature that's been around for years.  However, with Outlook 2007, it's very very hard to find.  The help was no help and web searches didn't find anything so I figure I better post the answer.

First, create a new mail mesaage and an attachment.  Now, on the "Insert" ribbon tab, find a little box in the lower corner.  Click it and the "Attachment Options" pane appears

Here you can select the "Shared attachments" radio button, enter a URL to a Sharepoint site (I use my "My Site" URL) and
check the button at the bottom of the pane "Show when attaching files".

Finally Outlook puts a link to you attached document in the mail message and adds everyone to the new site who is in
the To and CC fields.   Now we all can collaborate in the new workspace which is enterprise searchable. (Check-in, Check-out,
see awareness of everyone and talk and share)

Gary, no matter how bad your insomnia may get, avoid Ambien. Warm milk is a good thing. Or maybe, watching reruns of "Overhaulin'."

Nice -- but when I tried this it still includes the attachment in the email. Would like to send emails with only the link to the sharepoint workspace -- save on Exchange mailbox space.

ReadingNLearning,
You are right. The copy in the mail is linked to the server version so you can edit and sync. Seems it would be a good idea if you could use a link like Quickr. Let me check with the product people.:-

Is possible to send the link only without attachment file if I use shared attachments ?? Thanks~

the product people say you can create an Outlook "rule" that deletes the attachment when there is a link.

Seems like an option for handling attachments would be nicer.

The shared attachment feature in Office 2003 + Exchange 2003 + SharePoint 2003 will not send the attachment file to receiver. Do you know why we send the attachment file to receiver in Office System 2007 ??
